The User Breakdown Report displays selected data from any one or two user fields in visual column graphs, pie charts, and lists. The User Breakdown Report is designed to assist districts in tracking and analyzing their user data.
1. In the Users menu, click User Breakdown.
2. Please choose a user field from the provided pull-down to begin.
3. To further customize the data that will be pulled into the breakdown of user information, click Advanced.
Clicking Advanced opens a user search screen. This displays the Find a User module, which includes a search bar, the More Search Options feature, and options to Search All Schools, Include Parents, and Include Inactive Users.
a. Enter user name, user ID number, or EIN in the User text box to conduct a search.
The search bar is not case sensitive, and full or partial entries can be in either a first last or last, first format. The comma is necessary in the last, first format. A full user name or ID number can also be entered into the search bar. Searching for ab will pull every user whose first or last name begins with Ab into the search results. To pull last names that start with Ab add a comma: enter Ab, in the search box.
More Search Options enables you to search for groups of users with similar information in any number of user fields and/or user data.
b. Click More Search Options in Find a User to display a list of modules that can be opened and closed with the gray triangle. Set as many selections as needed to yield more specific search results. In the example shown, the user search will be defined by the Teacher Profile. When all parameters have been set, click Search.
4. Once a field is selected from the Please choose a user field pull-down, a second pull-down will display beneath it. If you want to Breakdown Further? select an additional field from the pull-down.
To alter the selected group of users set via Advanced and the user search module, click Advanced again at any time.
5. The User Breakdown charts will show data based on the Effective Date, which defaults to the current date. To set a different date, select a Month, Day, and Year from the provided pull-downs. You also have the option to select a date by clicking the calendar icon.
6. Once the Effective Date has been updated, click Go to update the user data.
The selected user data is displayed in a Column breakdown. The first legend listed along the left side (Female, Male) is the first selected field.
Each column is broken up by different colors, these colors display data for the second selected field; in this case, W4 Status.
To see the legend for each job classification code and its corresponding color, click the blue arrows up and down. Note: These arrows may not be available depending on the information pulled.
Hover over the different colors for detailed information, as shown in the image below.
The Total of users that fit the selected criteria are listed at the bottom; in the example shown, the total is 180.
To extract the user breakdown to an Excel spreadsheet, click Download.
The selected user data is displayed in a Pie breakdown. The legend listed along the left side is the first selected field.
Hover over the different colors for detailed information, as shown in the image below.
Click on a portion of the pie chart, in this case the Male or Female portion, to open a list of the users in User Info that make up the selected portion. From here, you can click on any of the listed user names to open detailed information for each user.
Clicking on a portion of the pie chart will navigate to User Info away from the User Breakdown screen. To return to the screen, you can either click Back in your browser or navigate to User Breakdown in the Users menu.
The Total of users that fit the selected criteria are listed at the bottom; in the example shown, the total is 180.
To extract the user breakdown to an Excel spreadsheet, click Download.
The selected user data is displayed in a List breakdown. The first legend listed in the first column (Female, Male) is the first selected field.
The Gender columns are broken down by the second selected field; in this case, W4 Status.
To extract the user breakdown to an Excel spreadsheet, click the floppy disk icon.
