This checklist is designed to guide users through the process of rolling over non-student data for postsecondary schools. The Rollover feature is designed to help each school begin their new school year with last year's baseline data and layouts so that the district and schools do not need to rebuild schedules and courses, reconfigure system preferences, and complete other setup from scratch. By following this checklist, you'll ensure that non-student data is properly rolled from the current school year into the next school year, and that the data is reviewed and adjusted as needed.
1. In the current school year, click the Setup menu and select Rollover.
2. Select each of the district-wide and school-specific data elements to roll.
District-wide Data such as the Course Catalog and Post-Secondary Programs should be rolled prior to or at the same time as rolling school specific elements such as Courses and Sections.
Postsecondary Programs, Courses and Sections must be rolled for all schools for which fees are associated before Fees can be rolled from the current school year to the next school year.
Postsecondary Gradebooks and Postsecondary Schedules should not be rolled over with other non-student data elements. Postsecondary Gradebooks and Postsecondary Schedules should not be rolled over until the current school year has ended.

1. In the next school year, click the Setup menu and select Attendance Calendar.
2. Select the calendar, and update the calendar dates using the Populate this calendar feature.
1. In the next school year, click the Setup menu and select Marking Periods.
2. Update the Begins and Ends dates for each marking period. Before the school year begins, the grade posting window and the standards grade posting window should be updated.

1. In the next school year, click the Setup menu and select Periods.
2. Verify that periods are configured correctly, and update the start times, end times, and length as needed. Verify that each period is correctly marked for Used for Attendance, Required for Scheduling, and Conflicts with Periods.

1. In the next school year, click the Setup menu and select Grade Levels.
2. Verify that grade levels are set up correctly, and that the grade level with a sort order of 1 is the grade level students will roll into when transitioning into this school from another (such as elementary school to middle school).

1. In the next school year, click the Setup menu and select System Preferences.
2. Review the School Preferences and update any preferences as needed.
Do not change the "Default school year" until rollover is complete and the current school year is over.

1. In the next school year, click the Scheduling menu and select Master Schedule Report.
2. From the Sections tab, click Mass Update to update the WDIS Class Start Date and WDIS Class End Date columns for the applicable sections.
Use the Filters feature to locate the applicable sections that need updating.
3. Enter the new start date and/or end date in the Value text box, and click Update.
4. Click Save to apply the new date to the displayed sections.
Even if dates for the new school year have not been approved, approximate dates can be added until the district confirms the real dates, just ensure that you update them in Focus once they have been finalized.
The WDIS class dates can also be updated via Courses & Sections.

1. In the next school year, click the Setup menu and select Copy School.
2. Select Copy to an Existing School.
3. Select the schools to copy to.
4. Select the items to copy.
5. Click OK.
It is imperative that, when working with Copy Schools, only the Calendar Dates and Marking Periods Dates are copied and NOT the Marking Periods and Calendars. This is because the Master Schedule has been rolled which includes links to Calendar and Marking Periods for that specific school. Copying another set will break the link and create issues with the Master Schedule.
