Generate Staff Assignment Records

The Generate Staff Assignment Records screen is used to populate the "Staff Assignments" (users.custom_300000019) logging field for those users who have records in course_periods (user is assigned to teach a course) for the given syear. The purpose of populating the "Staff Assignments" user logging field is for use in Generate MOSIS Extracts for the Educator School extract file.

The Generate Staff Assignment Records process will only add log records for users that have data in course_periods (user is assigned to teach a course) for the given syear. This includes primary teachers and co-teachers. 

If a user that does not have data in course_periods needs records added to the logging field, those records will need to be added manually. 

Generating Staff Assignment Records

1. In the Missouri Reports menu, click Generate Staff Assignment Records.

2. Click Generate Records.

A green check mark will appear once the records have been created.

3. To verify the record(s) have been added for a given user, navigate to Users > User Info, and search for the desired user.

4. Once on the desired user’s profile, navigate to the State Reporting category and the Staff Assignments logging field. Here you will see the log record(s) added to the user’s profile. 

5. You can either review the logging field as pictured above, or you can click on the Expansion icon to the left of the School Year column to view the logging field information in a pop-up window for easier viewing.

Click Close when finished.

6. Hover over the ? icon next to the logging field title to view the following important message.

Staff Assignment Log Field Columns

Column Description
School Year

(course_periods.syear)

School

(course_periods.school_id) Focus then determines the school by looking for the ID in the SCHOOLS table.

Position Code

This is set to “60" by the process, as Focus is creating only teacher-related records in the logging field.

CTE Program Type

(course_periods.cte_program_type)

FTE

This is determined by taking the Assignment Minutes divided by the Total Minutes.

Salary

This is determined by taking the Assignment Minutes divided by the Total Minutes and then multiplying that by the Total Salary.

Generated

This will get set to “Yes" (a green checkmark) when the record is created by the process. 

Total Minutes

This is the total minutes for all assignments for the given staff member for a given syear.

Assignment Minutes

This is the minutes for the individual assignment. 


Important Note: If a section is during a period that is marked to take attendance, the minutes will be calculated for each section, whereas minutes will not be calculated if the section is not during a period that is marked to take attendance.

If a School, Position Code, and CTE Program Type combination already exist in the logging field for the given syear, a record will not be created and added to the logging field for the user.

Teachers that do not have any sections scheduled during a period that is marked to take attendance are still added to the Staff Assignments logging field; however, this will result in no minutes or calculated values.
