The Generate EMIS K12 Extracts screen is used to generate, view, and download extracts for state reporting.
The scheduled job "Ohio Extracts" can be used to generate extracts on a scheduled basis. You can then view or download the generated extracts from this screen.
1. In the Ohio Reports menu, click Generate EMIS K12 Extracts.
2. Select the Data Set.
3. Select the Reporting Period.
4. Select the File Download Format.
5. If "A - Assessment" was selected as the Data Set, select the Assessment Collection if applicable.
If "G - Graduate" was selected as the Data set, select the Window Start and Window End dates, as well as the Assessment Collection, if applicable.
5. Select the check box for each of the extracts you want to generate, or click Select All. The list of extracts depends on the Data Set selected at the top of the screen.
6. Click Generate Extract(s).
"Generating..." will display next to an extract as it is generating. A green check mark and "Extract Successful" message will briefly display next to an extract once it has been successfully generated.
7. Click Download Extract next to an extract to download the file to your computer. The type of file that downloads depends on the File Download Format selected at the top of the screen.
8. Click HTML View next to an extract to view the extract data in a more readable format in Focus.
The results of the extract will display in a table view, which can be exported to CSV/Excel, printed, and filtered.
9. Click Go back when finished.
10. For a complete history of users who have generated extracts, click Extract History.
A pop-up screen opens that lists the Extract User, School Year, Extract, Time and Date, and the Number of Records.
11. Click the X to close the pop-up window when finished.
