Graduation Requirements Report

The Graduation Requirements Report provides an overview of student progress towards satisfying the graduation requirements set up in the student's assigned graduation program. The report can be viewed for an individual student or for a group of students.

Viewing the Graduation Requirements Report for a Group of Students

1. In the Grades menu, click Graduation Requirements Report.

2. On the Search Screen, enter search criteria to locate the group of students. Click More Search Options to access search options based on student fields.  

3. Click a category in the pull-down, and, if applicable, click the field to search by.

In this example, the Grade Level category was clicked.

4. Once the search field is added, set the search criteria. In this example, the search will look for students in grade 12.

5. Continue adding additional search criteria as needed. Click Search when finished.

At the top of the report, Course History is selected by default. When Course History is selected, the report considers each student's full course history when displaying the progress the student has made towards fulfilling the graduation requirements assigned to his/her graduation program.  

6. To only consider Full-year Grades, Semester Grades, or Quarter Grades, click the appropriate options at the top of the screen.

7. Modify the Effective date as needed.

Only students active as of the effective date will display on the report.

8. Click Change to regenerate the report.

9. Select the graduation program to view from the pull-down.

10. Click a grade level tab to view students within that grade level.

If the graduation program does not have requirements set up by grade level in Grades > Graduation Requirements, the grade level tabs will not display.

The report displays students who are assigned to the selected graduation program and have credits remaining to graduate. If a student has completed all of his/her graduation requirements, he or she will not appear on the report.

Each graduation subject is listed in its own column, along with the number of required credits in parentheses. Graduation requirements are set up in Grades > Graduation Requirements. Graduation requirements can be set up by grade level. For example, when viewing the 09 tab of the report, the column headers will display the requirements for students in grade 9. If the graduation program does not have requirements set up by grade level, the grade level tabs will not display on the report.

  • A green check mark in a column indicates the student has fulfilled the credit requirements for the graduation subject.
  • A green check mark with an hourglass indicates the student has one or multiple courses in progress that fulfill the requirement. Upon passing the course(s), the requirement will be fulfilled.
  • A number value indicates the number of credits that remain to be taken by the student in order to fulfill the requirement.

11. Hover your mouse over a check mark or credit field to view the course title, the grade the student received, the number of credits, the term for completed courses, and the content term (if applicable). The course title, the number of credits, the term, and the content term (if applicable) displays for enrolled courses.  

When the system preference "Show Failed Courses on Grad Requirements Report" is enabled in Setup > System Preferences > Grading tab, failed courses are included in the Completed section of the pop-up.

Only applicable to middle schools that use semester courses for non-full year grades: When the system preference Weight GPA by Credits is not enabled, and the grade is not an F or I, the system will check the marking period of the grade. If the marking period is 0 or full year, it is counted as 1 credit, otherwise it is counted as 0.5 credits. If the grade is an F or I, it is counted as 0 credits. To modify this system preference, from the Setup menu, select System Preferences > School Preferences/Default School Preferences tab > Grading tab.

If assessments have been assigned as part of the graduation requirement plan, tests will be listed as well. Hover your mouse over a check mark to view the name of the test passed.

12. Scroll to the right to view the columns for state assessments, EOC requirements, Biliteracy Gold and Silver, or other state-specific requirements or programs.

Activity 1: Searching for Students and Analyzing Graduation Progress

Practice using search filters and analyzing student progress toward graduation.

1. Navigate to the Graduation Requirements Report in the Grades menu.

2. Use the More Search Options to filter for students in Grade 12.

3. Review the generated report, noting the credit requirements for English. Identify the students who have credits remaining and those who are currently enrolled in courses to fulfill the requirement.

4. Hover over the credit fields to gather additional details about the courses, grades received, and terms.

Viewing the Graduation Requirements Report for an Individual Student

1a. In the Grades menu, click Graduation Requirements Report, then conduct a search for the specific student.

a. While viewing the report, click the student's name to view the report for the individual student.

1b. From the Portal page, search for and select the student from the Select Student/Staff pull-down.

1c. From the Portal page, conduct a student search in the Find a Student/User section. Select Grad Reqs from the category pull-down.

If the student's graduation program has requirements set up by grade level, the table will be separated into tabs for each school year of enrollment, each containing the graduation requirements for that grade level, the number of required credits for promotion, credits remaining to be taken for promotion, and the currently enrolled credits. The Graduation tab will display all of the requirements to graduate. If the student's graduation program does not have requirements set up by grade level, the table will not be separated into tabs.

At the top of the report, additional information is displayed, including the student's GPA, class rank, cohort year, total credits, reading and math assessment statuses, and EOC assessment statuses.

The individual student report includes custom fields set up with the Visible on Student Grades toggle enabled via Students > Student Fields at the top of the report.

2. To view the simplified report, which hides the additional information at the top of the screen (GPA, class rank, cohort year, total credits, reading and math assessment statuses, EOC assessment statuses, etc.) click Show Simplified Report.

3. To return to the detailed report, click Show Detailed Report.

At the bottom of the screen, state-specific programs are listed, such as Industry Scholar Designation, Scholar Designation Requirements, and Biliteracy Seal, along with their completion statuses.

For the Scholar Designation Requirements,  only the AP/IB/AICE/Dual Enrollment requirement can use a duplicated course to fulfill the credit.

4. Hover your mouse over a check mark or credit field in the graduation requirements section to view the course title, the grade the student received, the number of credits, the term for completed courses, and the content term (if applicable). The course title, the number of credits, the term, and the content term (if applicable) displays for enrolled courses.

Assessments are established as part of a graduation requirement program via Grades > Graduation Requirements when Assessment is selected from the Type pull-down of the Graduation Programs and Requirements tab. When multiple tests are selected, students only need to pass one to complete the requirement.  Navigate to Assessments > Standardized Tests to set the Min Scale Score from the Setup Tests tab, which is used to determine if a student has passed the test.

5. To check the student's academic and test history against a different graduation program than the one assigned on the student's enrollment record, click Evaluate other programs at the top of the screen.

Each of the graduation programs are listed, along with the student's progress for each graduation requirement in the program.

6. Hover your mouse over a check mark or credit field to view the course title, the grade the student received, the number of credits, and the term for completed courses. The course title, the number of credits, and the term displays for enrolled courses.

7. To return back to viewing the student's assigned graduation program, click Return to current program at the top of the screen.

If a student has met an assessment or EOC requirement, the pass date displays in the column. "Waived" will display in a column if the student has an ESE EOC waiver.

Activity 2: Customizing and Filtering the Graduation Requirements Report

Explore customizing the report by using filters to refine the displayed results.

1. Access the Graduation Requirements Report and ensure the Filter option is turned ON.

2. Filter the report to display only students who are in progress with fulfilling their Math requirements by entering N in the Math requirement filter text box.

3. Further customize the report by filtering out students who are not currently enrolled in courses that could meet their Science requirement by entering !* in the Science filter text box.

4. Try applying an additional filter to display students who have completed their State Assessment requirements.

Printing the Graduation Requirements Report

1. When viewing the report, select the check box next to each student to print, or select the check box in the column header to select all the students in the list.

2. Click Print at the bottom of the screen and follow the prompts for printing.

Exporting the report using the Excel or Print icons above the table will export the report regardless of the students selected. Clicking Print at the bottom of the screen will print the report with the selected students, with each student starting on a new page.
