The Lockers screen is a comprehensive tool for managing locker assignments, locations, and combinations. It allows schools to set up lockers and assign them to individual students or randomly to groups of students. Each locker can store up to five combinations, enabling easy rotation of combinations when assignments change. This flexibility simplifies locker management, allowing for efficient organization and reassignment throughout the school year.

Setting Up Locker Locations

1. In the Setup menu, click Lockers.

2. Click the Locations tab.

3. In the blank row, enter a Name for the location.

4. Enter the Building, if applicable.

5. Enter the maximum number of students per locker in the Max Students Per Locker field.

6. Press Enter to add the location.

The new location is auto-saved. A new, blank row is displayed where you can add the next location.

7. To edit a field, click the field and make your changes.

The changes are auto-saved.

8. To delete a location, click the red minus sign to the left of the location.

9. In the confirmation message, click OK.

Creating Lockers

After locker locations have been set up, lockers can be created.

1. In the Setup menu, click Lockers.

2. Click the Create Lockers tab.

3. Select the Location in which to set up lockers.

Locations must be entered on the Locations tab to display in the pull-down. 

4. Enter the Number Range for the lockers, for example, 100-199.

5. Click Create.

A green check mark and confirmation message is displayed. The lockers are now available in the Lockers tab.

1. On the Lockers screen, click the Assign Lockers tab.

2. In the Search Screen, enter search criteria to locate the student or group of students and click Search.

3. Select a Location from the pull-down.

4. For each student returned in the list, select the Locker Number to assign to the student.

The selection is auto-saved.

Randomly Assigning Lockers to a Group of Students

1. On the Lockers screen, click the Assign Lockers tab.

2. In the Search Screen, enter search criteria to locate the student or group of students and click Search.

For example, you can search for all 9th grade students.

3. Select the Location to assign to the students.

4. Click Randomly Assign Lockers.

The lockers are randomly assigned to the group of students.

Removing Assigned Lockers from Students

1. On the Lockers screen, click the Assign Lockers tab.

2. In the Search Screen, enter search criteria to locate the student or group of students and click Search.

For example, you can search for all 9th grade students.

3. If you need to clear the locker assignments from the group of students, click Clear Assigned Lockers.

Setting Locker Combinations

1. In the Setup menu, click Lockers.

2. Click the Lockers tab.

The locker information is displayed for all lockers set up in the system. This includes the locker number, active status, location, and assigned students. Any of these fields can be edited as needed. Your changes will auto-save.

3. Enter the locker combinations for the locker in the Combo 1 through Combo 5 fields.

The combinations will auto-save.

4. To assign a locker combination to the locker, select the combination in the Active Combo pull-down.

Viewing Locker Information

1. In the Setup menu, click Lockers.

2. Click the Lockers tab.

The locker information is displayed for all lockers set up in the system. This includes the locker number, active status, location, and assigned students. Any of these fields can be edited as needed. Your changes will auto-save.

3. Select Include Inactive Lockers to display lockers that are not currently active.

The locker information is displayed for all lockers set up in the system.

  • Number: Displays the locker number. 
  • Active: Displays the status of the locker. This will be checked by default. Deselect the locker to make locker status inactive. 
  • Location: Displays the location of the locker. 
  • Assigned Student(s): Displays the student(s) that are assigned to the locker. 
  • Active Combo: Displays the combination considered active. 
  • Combo 1-5: Displays the combination possibilities for the locker.

4. Edit any of these fields as needed by selecting the field and making the needed changes.

The changes will auto-save.

5. Click Mass Update to change all values for a column to the same value.

6. Turn on the Filters to further breakdown the list of lockers. For example, filter on a specific location to display only lockers in that location.

7. Export the list of lockers to an excel spreadsheet by selecting the Excel icon.

8. Print the list of lockers by selecting the Print icon.

Activity

Objective: By the end of this activity, participants will be able to set up locker locations, create lockers, assign them to individual students or groups, and manage locker combinations using the Lockers screen.

Instructions:

  1. Setting Up Locker Locations:
    • Navigate to the Lockers screen in the System Setup section.
    • Select the Locations tab and enter a new location name (e.g., "Main Building").
    • Set the Max Students Per Locker to "1."
    • Press Enter to save the location.
    • Add another location (e.g., "West Wing"), and edit or delete a location as needed.
  2. Creating Lockers:
    • Switch to the Create Lockers tab.
    • Select the Location you created earlier.
    • Enter a Number Range (e.g., 100-199) for the lockers and click Create.
    • Confirm the lockers were successfully created with the confirmation message.
  3. Assigning Lockers to Individual Students:
    • Go to the Assign Lockers tab.
    • Use the search options to find a student (e.g., search for "Grade 9").
    • Select a locker from the Locker Number drop-down for the student and confirm the assignment auto-saves.
    • Modify the locker assignment by selecting a different locker number.
  4. Assigning Lockers to a Group of Students:
    • On the Assign Lockers tab, search for a group of students (e.g., all students in "Grade 8").
    • Select a Location and click Randomly Assign Lockers.
    • In the confirmation window, click OK to assign lockers randomly.
    • Review the assigned lockers for the students.
  5. Removing Locker Assignments:
    • Return to the Assign Lockers tab and search for students who were assigned lockers.
    • Use the Clear Assigned Lockers button to remove the locker assignments.
    • Confirm the removal in the pop-up window.
  6. Setting Locker Combinations:
    • On the Lockers tab, locate a locker and enter combinations (up to 5) in the Combo fields.
    • Select one of the combinations as the Active Combo from the drop-down.
    • Ensure that the locker status is marked as active.
  7. Viewing and Managing Locker Information:
    • Use filters to sort lockers by location or status.
    • Export the locker list to a CSV file and print it for reference.

  • Discuss how the ability to randomly assign lockers or set multiple combinations could benefit locker management at your school.
  • Consider how filters and exports might be useful for auditing or reviewing locker assignments.
