Print Avery Labels

The Print Avery Labels feature offers a flexible way to generate mailing labels, shipping labels, and file folder labels for a variety of purposes. Users can print Avery mailing labels (#5160), shipping labels (#5163), and file folder labels (#5366). This tool allows you to easily create labels for any selected group of students using the familiar "More Search Options" feature available on other search screens.

Searching for Students

1. In the Students menu, click Print Avery Labels.

2. Enter applicable search criteria in the Student Search on the Print Avery Labels screen.

3. Click Search.

Clicking Search will generate a list of students where you can choose to print Avery labels for selected contacts, students, parents per student.

1. First select how you would like the labels addressed:

To all Contacts having Custody prints all contacts that have custody. The label is addressed to all logged custodial contacts for each selected student. If the student's custodial contacts reside at different addresses, the label will print for all addresses.

To each Student prints labels addressed to the student.

To Contacts & Students prints labels for the students' custodial contacts.

To the Parents or Guardians displays on the label as "To the Parents or Guardians of  [Student Name]" on the labels and print for all custodial contacts.

Once Per Family prints for  the student's custodial contact and/or contact with a Sort Order priority of 1. The Linked Students section in Students > Student Info > Address & Contacts tab is also used to determine which students are in the same family.

Custom Label allows you to customize the text displays on the label. See below for more information.

Contacts are defined via Students > Student Info > Address & Contacts tab.

a. If you select Custom Label, an Edit link will display. Click the Edit link to create your own custom label. When finished, the new label will display in the text box as shown in the image.

b. Clicking the Edit link will open a word processing box equipped with a full formatting palette; note that hovering your mouse over any tool in the formatting palette will display a short description of what that tool will do.

c. See the Custom Label Editor section below for more information. When the custom label has been created, click Continue to return the main Print Avery Labels screen to select students. You also have the option to cancel by clicking the Cancel button or the blue X in the upper right corner of the editor.

2. Select the Starting row and the Starting column from the pull-downs to indicate where on the sheet of labels Focus should begin printing labels. This feature makes it easier when reusing a single sheet of labels.

For a brand new sheet of labels, the Starting row and column would be 1.

3. Before selecting the students and generating the labels, you must also select a Label Type from the provided pull-down. The options available include Avery 5160 (mailing labels), Avery 5163 (shipping labels), and Avery 5366 (file folder labels).

4. Select the students for whom you need labels by selecting the check box next to each student. As students are selected, the number of selections made will display next to the number of students pulled originally.

a. If you want to print labels for all students displayed, select the check box in the header.

5. Click Create Labels for Selected Students.

6. Click the printer icon to print. Click the arrow icon to download the files to your computer and save for later use.

7. When finished, click Return to Focus to return to the previous Print Avery Labels screen.

Custom Label Editor

1. If you select Custom Label, an Edit link will display. Click the Edit link to create your own custom label. When finished, the new label will display in the text box as shown in the image.

2. Save your work via the Save Template icon.

3. Click the Open Letter icon to open a created letter via Print Letters & Send Email.

4. You can also Bold selected text, use the Italics tool, Underline text, and Strikethrough text.

5. Use the X tools for Subscript and Superscript text as shown in the image.

6. Use the following tools to Insert/Remove Numbered List, Insert/Remove Bulleted List, Decrease Indent, and Increase Indent.

7. To change the size of the font, use the Font Size pull-down.

8. Use the following tools to Align Left, Center, Align Right, and create a Block Quote.

9. Select the Text Color button for a variety of text color options or the Background Color button to change the background color of the text.

10. Use this tool to Insert a Field from Focus. Depending on what is needed, select the correct header, such as Demographic, Enrollment, etc., then select the field. Multiple logging fields can be added to a custom label. Use the search options to access logging fields stored within each category. Selected fields will appear in the text editor, and will fill as student-specific information when the letters are printed.

Print Avery Labels

You can add a Student ID Barcode, which would allows you to print barcodes that serve as student identification for scanning. To insert student barcodes, click Insert a Field when creating a Custom Label, then click the Student Demo tab, and select Student ID Barcode.

11. Click on the Source button for CSS/HTML embedding.

12. At the bottom of the word processing box, you will see a description of each entered section. Clicking on any of them will highlight the corresponding section. For example, if you click on body, all of the text entered will be selected. Or, clicking on h1, will select the heading entered.

Activity

Objective: By the end of this activity, participants will be able to generate and print Avery labels for a group of students using various label types and addressing options, as well as customize labels using the Custom Label Editor.

Instructions:

  1. Student Search:
    • Navigate to the Print Avery Labels screen.
    • Use the More Search Options to locate a group of students based on criteria provided by the instructor (e.g., students in Grade 8).
    • Click Search to display a list of students matching the criteria.
  2. Choose Label Type and Addressing:
    • From the list of students, choose the type of label you will print:
      • Mailing Labels (Avery 5160)
      • Shipping Labels (Avery 5163)
      • File Folder Labels (Avery 5366)
    • Select one of the following addressing options:
      • To all Contacts having Custody
      • To each Student
      • To Contacts & Students
      • To the Parents or Guardians
      • Once Per Family
  3. Custom Label:
    • Now, try creating a custom label by selecting Custom Label and clicking the Edit link.
    • Customize the text in the label using the formatting tools provided (e.g., bold, font color, etc.).
    • Save your label using the Save Template option.
  4. Finalize and Print:
    • After finalizing the label setup, select the starting row and column for printing.
    • Click Create Labels for Selected Students.
    • Review the label layout in the print preview window, making sure everything looks correct.
    • Finally, print the labels or download them for future use.
  5. Reflection:
    • Discuss how you might use each label type in different scenarios (e.g., shipping labels for mail-outs, file folder labels for organizing student records).
    • Reflect on how customizing labels could be helpful for specific school or classroom needs.
