The TSDS Extracts screen is used to generate, download, and view one or multiple submission extract formats. Preferences for fields used in generating are saved per school year, submission, and user.
1. In the Texas Reports menu, click TSDS Extracts.
2. Select the Submission.
3. Select the Effective Date using the pull-downs or calendar icon.
4. Select the Submission Type.
5. Select the check boxes for the Extracts you want to generate. One or multiple can be selected. To select all extracts in the list, select the Select All check box at the top of the list.
6. Click Generate Extract(s) to create the Focus data set.
A green check mark briefly displays once the Focus data set is complete.
7. Click Download Extract next to the extract to download an XML file to your computer.
The file is downloaded to your computer.
8. To view the file data in Focus, click HTML View next to the extract.
The file data is displayed. By default, the first extension associated with the selected interchange is displayed.
9. To view the data for a different extension, click on the extension.
10. To create a new custom file, enter a New Filename and click Create New File.
11. To add records to the file, click Add Records.
12. Enter the data in the provided fields and click Add Record.
13. The data in the file can also be edited by clicking a field and making the desired edit.
Data added/edited exists solely in the TSDS tables and does not sync with any other table.
14. To remove the edit capability for a file, select Lock Currently Selected File.
It is not recommended to lock the Focus Default file.
15. To delete a file, click Delete Current File.
16. To change the file you are viewing, select the file in the pull-down.
17. When finished viewing the file data, click Go back at the top of the screen.
18. Click Extract History next to an extract to open a pop-up window containing all prior actions on that format, including user, date of run, time of run, and extract parameters.
To change the file that is downloaded or viewed from the main TSDS Extracts screen, select the file in the pull-down. New files are created in the HTML View.
The TSDS Extract Field Defaults screen lists the fields submitted in the TSDS extracts, along with the table name and field number from which the data is extracted, field defaults, and extract logic.
