The Cohort Reports program in Focus is used to Upload the DUPS and P4 cohort files from the DOE and review them in Focus. For some reports, the Focus calculated values for WD Code, WD Date, School Number, and At-Risk can be viewed.
1. From the Florida Reports menu, click Cohort Reports.
2. At the top of the screen, click the desired file: DUPS or P4.
DUPS: A reference file to assist with locating those students who are coded as dropouts or nongraduates in your cohort but may be enrolled in another district in the state, as stated in the 2019 Information Guide for the 4-Year Graduation Rate Cohort.
P4: Preliminary 4-Year File: Sorting the files multiple ways will provide different opportunities to identify students who are duplicates within the district, whose school number is incorrect, whose withdrawal code and/or date needs to be updated, or whose subgroup information needs to be corrected, as stated in the 2019 Information Guide for the 4-Year Graduation Rate Cohort.
3. Click DOE, if not already selected.
4. Click Load File. If the file has not yet been uploaded into Focus, No Records Found will display. If the file was previously uploaded, the previous version of the file will display on the screen.
5. Click Upload File to upload the latest version of the selected file from DOE. The file will upload and display on the screen.
If the file was previously uploaded, the previous version is deleted in Focus and the latest version will display on the screen.
Once a report has been uploaded from the DOE file, the Focus calculated values for WD Code, WD Date, School Number, and At-Risk can be viewed on the report for comparison with the values from the DOE file.
1. With the desired file selected (DUPS or P4) at the top of the screen, click the Focus button.
2. Click Load File. The file will load on the screen.
3. Scroll to the right. The FOCUS WD Code, FOCUS WD Date, FOCUS School Number, and FOCUS At-Risk columns are populated with the calculated values from Focus. These can be compared to the values from the DOE file.
If the results contain several pages of data, Page numbers will displays along with Prev and Next buttons. Utilize these buttons to sift through pages. Click the Page text box to enter a page number. Press Enter to jump to that page.
To export the listed data to an Excel spreadsheet, click on the Excel icon in the Export section.
To print data, click on the Printer icon in the Export section.
Click Filters to organize the listed students.
a. To add more than one filter to a column, click the green plus sign.
b. To delete an additional filter, click the red minus sign.
c. For additional filtering options, click the gray arrow for a filter pull-down.

Data here can also be organized by clicking on any of the headers; click once for ascending results; click twice for descending results.
