Utilize the FTE Null Students report to view students who have invalid data or attendance issues and are currently receiving no FTE. This report allows users to review the students and student data in order to correct the invalid information. Set the parameters and survey information in order to generate the report.
1. From the Florida Reports menu, click FTE Null Students.
2. This navigates to the FTE Null Students screen where you can begin by selecting the applicable Survey from the provided pull-down. Note: The pull-down will default to the current survey; therefore, this will only need to be changed when you would like to look ahead or at past surveys.
The FTE Null Students report will run the Student Course extract; therefore, the Student Course file does not need to exist beforehand.
Upon selecting a Survey, the Effective Date and Survey Window should update automatically with the correct information. However, if the dates here are incorrect, you have the option to manually enter any dates you like shown in the following steps. You also have the option to update the Survey Dates via Florida Reports > Florida Reports Setup via the Survey Dates tab.
3. The Effective Date should be completed with Date Certain. Here you can select the correct month, day, and year from the provided pull-downs, or click the calendar icon for a calendar view.
4. The Survey Window should be completed with the 11-day attendance window. Here you can select the correct month, day, and year from the provided pull-downs, or click the calendar icon for a calendar view.
Typically, this report is run after date certain, in which case you will set the Effective Date to date certain and the Survey Window to the 11-day attendance window, as described in the above steps. If running the report prior to date certain, set the Effective Date and the Survey Window end date to the current date in order for students to pull. If you run the report prior to date certain with the appropriate FLDOE survey dates, Focus will assume all students are present as there are still days to come.
5. Data will only be pulled for the selected school, i.e. the school you are logged into via the school pull-down located in the header. If needed, to pull data for all schools, select the check box to Include All Schools.
6. When all selections have been made, click the Display Report button to generate the FTE Null Students report.
Upon setting the FTE Null Students criteria and clicking the Display Report button, the FTE Null Student Report for School Year [202X-202X] Survey [X] displays.
The report is sorted by Enrolled School, Local Student ID, Student Name, Grade Level, FEFP, Number of Records, Number of Records Due to Attendance, Total Number of Minutes, and the Courses & Sections Nulled, as shown in the image above.
7. Click Student Name to open the applicable student's schedule in a pop-up window via Scheduling > Student Schedule.
a. Click the X to close the pop-up window.
8. To navigate back to the original FTE Null Students screen where you can reset the paramenters, click the Go back button located in the upper left corner of the screen.
Click the floppy disk icon next to the number of Students pulled, which allows you to export the listed data to an Excel spreadsheet.
You can sort data by clicking on any of the headers. Click once for ascending results; click twice for descending results.
To make the list full screen, click on the expansion icon (four arrows) next to the Search text box. Once in full screen mode, click the icon again to exit full screen.
If looking for specific information housed within the resulting data, type the information in the Search text box provided and press Enter.
