McKay Payment Confirmation Reports

The McKay Payment Confirmations Reports allow districts to review and compare data from DOE with data in Focus. Running the McKay Payment Data Reconciliation report and the McKay Scholarship Verification report aids districts in reviewing incorrect data and making the necessary adjustments before submitting surveys A-D.

1. From the Florida Reports menu, click McKay Payment Confirmation Reports.

2. This navigates to the McKay Payment Confirmation reports screen where you can begin by selecting the correct Survey from the provided pull-down.

3. Once a survey has been selected from the pull-down, click the Refresh Report button to update displayed data.

Data in these reports pulls for all schools regardless of the school selected/logged into via the school pull-down located in the header.

4. On the McKay Payment Confirmation Reports screen, you will notice two tabs along the left. Click the following tabs to review data for McKay Payment Data Reconciliation report and McKay Scholarship Verification report.

The McKay Payment Data Reconciliation and McKay Scholarship Verification reports must be downloaded via Florida Reports > Florida Reports Setup > Florida Files tab.

Once a tab/report is selected, you will see more information about the data and the errors. Data will be broken up into sections all starting with a gray arrow. The first column of information displays error numbers and percentages.

  • If there are 0 errors, the font will be black, and the percentage of error-free data will be listed in parentheses as (100%) as shown in the image.
  • If data for a section is 90% to 99% error-free, the font will be in blue.
  • If a section is between 80% and 90% error-free, the font will be in yellow.
  • If data for a section is less 80% error-free, the font will be in red.

The second column displayed next to the number of errors is a description of DOE rules and regulations. These descriptions will help explain what errors are being found in your data. As shown in the image, the first error explains: Demographic Not Found.

5. Click on the blue question marks at the end of each error description for a Query to generate the error report. When using run query for your districts site, use the provided query to return a list of errors that need correcting. Note: The same data returned here is listed under errors as explained in the next step.

6. For a list of the students containing incorrect data, click on either the gray arrow or the blue, yellow or red links.

The list of students containing errors for the McKay Payment Data Reconciliation report displays the Student, McKay Florida ID, McKay Survey, McKay Syear, Demographic ID, and Survey Discrepancy.

The list of students containing errors for the McKay Scholarship Verification report displays the Student, McKay Student Number, McKay Survey, McKay School Year, and the Focus Florida Number.

a. To edit the data and correct the error, click the Student name in the first column of the list.

b. To navigate back to the list of errors, click Go Back to Summary.

Clicking the Student name opens a new window or tab (depending on browser settings) to Students > Student Info. From the Student Info screen, you can navigate to the tabs in which the incorrect information is housed.

When the information in question has been changed, be sure to Save the data before closing the window/tab and returning to the McKay Payment Confirmation Reports.

Upon navigating back to the McKay Payment Confirmation Reports screen, a pop-up will display asking if you'd like to Recover Options, i.e. go back to the report even though changes have been made. Click Recover Options to return the to the report.

Additional Features

Utilize the Search text box at the top of the panel by typing the name of a tab to quickly navigate from one tab to another.

To close the panel, click the X. Doing so will allow for more room on the screen, which will be helpful when viewing reports. To make the panel reappear, click the arrow where the panel used to display.

Data can be organized by clicking on any of the headers, such as Student or McKay Student Number; click once for ascending results; click twice for descending results.

To make the report full screen, click on the expansion icon (four arrows) next to the Search text box. Once in full screen mode, click the icon again to exit full screen.

If looking for specific information housed within the resulting data, type the information in the Search text box provided and press Enter.
