Student Breakdown

The Student Breakdown Report displays selected data from any one or two student fields in visual column graphs, pie charts, and lists. The Student Breakdown Report is designed to assist schools in tracking and analyzing their student data.

1. Click the Reports menu, then click Student Breakdown.

2. Please choose a student field from the provided pull-down to begin.

3. To further customize the data that will be pulled into the breakdown of student information, click Advanced.

Clicking the Advanced link will open a student search screen. For more information on conducting a student search, see Searching for Students.

4. Once a field is selected from the Please choose a student field pull-down, a second pull-down will display beneath it. If you want to Breakdown Further? select an additional field from the pull-down.

To alter to selected group of students set via the Advanced button and the student search module, click the Advanced link again at any time.

5. The Student Breakdown charts will show data based on the Effective Date, which defaults to the current date. To set a different date, select a Month, Day, and Year from the provided pull-downs. You also have the option to select a date by clicking the calendar icon.

6. Once the Effective Date has been updated, click Go to update the student data.

7. Notice there are several different tabs depending on how you would like to see the information displayed, such as Column, Pie, and List. The Column tab is selected by default.

The Column tab is selected by default.

The selected student data is displayed in a Column breakdown. The first legend listed along the left side Gradelevel is the first selected field.

Each column is broken up by different colors, these colors display data for the second selected field; in this case, Gender.

To see the legend for each gradelevel and its corresponding color, click the blue arrows up and down. In the example shown, grade 11 is displayed. Note: These arrows display depending on the data displayed in the columns.

Hover over the different colors for detailed information, as shown in the image below.

The Total of students that fit the selected criteria are listed at the bottom; in the example shown, the total is 24.

To extract the student breakdown to an Excel spreadsheet, click Download.

Pie

Click the Pie tab.

Upon selecting the Pie tab, the second selected field will be removed. The pie chart can only support one selected field of student data. You can select the Column or the List display for both selected fields in the student breakdown.

The selected student data is displayed in a Pie breakdown. The legend listed along the left side (F - Female, M - Male) is the first selected field.

Hover over the different colors with the computer mouse for detailed information.

Click on a portion of the pie chart, in this case the Male or Female portion, to open a list of the students in Student Info that make up the selected portion. From here, you can click on any of the listed Student names to open detailed information for each student.

Clicking on a portion of the pie chart will navigate to Student Info away from the Student Breakdown screen. To return to the screen, you can either click the Back button of your browser or navigate to Student Breakdown from the Reports menu.

To extract the student breakdown to an Excel spreadsheet, click the Download link.

List

Click the List tab.

The selected student data is displayed in a List breakdown. The first legend listed in the first column (F - Female, M - Male) is the first selected field.

The Gender columns are broken down by the second selected field; in this case, Gradelevel.

To extract the student breakdown to an Excel spreadsheet, click the floppy disk icon.
