The Position Control Changes screen allows users to request position changes. Once submitted, requests go through an approval process when set up as an Approval Flow set up by the district. A facility can request to move an allocation and/or and employee from one position to another. Once approved, changes are reflected via Human Rescuers > Position Control and Human Resources > Employee.
In order to create and edit requests, you must have the Can Edit Requests permission enabled via Setup > Profiles > Human Resources.
1. From the Human Resources menu, click Position Control Changes.
2. The Position Control Changes screen defaults to the Drafts tab.
3. Enter the title of the draft/request in the text box and click Create.
4. From the Request Position Control Change tab, start by selecting the applicable Fiscal Year from the pull-down.
5. Select the applicable Facility from the pull-down.
6. The Effective Date defaults to the current date. Edit the date, as needed.
7. Enter the Reason for the position control change in the provided text box.
8. Select the Move Allocated Hours check box to ensure the allocations will be subtracted from the “From” position and added to the “To” position. If the check box is left unchecked, the allocations for both positions will remain unchanged.
9. Select the position from which the employee is moving to the new position by making the selection from the From Position and To Position pull-downs.
10. Edit the number of Hours, if needed.
11. If the change applies to a select employee only, select the Employee from the corresponding pull-down.
12. Select the applicable Job Title and Salary Slot from the applicable pull-downs.
13. Edit the Salary, as needed.
14. Select the Courses Taught from the corresponding pull-down, if applicable.
15. Enter the Percent that applies to the select accounting strip as defined from the applicable element pull-downs, such as Fund, Function, Object, Facility, etc.
In order to edit the allocation fields including Percent, Fund, Function, etc., you must have the Can Edit Allocation permission enabled via Setup > Profiles > Human Resources tab.
16. Press the Enter key to save the entry.
17. Use the top row to enter information for another employee and repeat the previous steps.
18. Attach any applicale documents in the Files section.
As indicated in the Files section, drag files directly into the box to attach documents or click the Select button to browse for files.
Click the Select button for direct scanning.
Click the Scan File button to attach files directly from your scanner; this will prompt you to download Dynamsoft.
19. To add a comment, type the comment in the provided text box, and click Post.
20. Click Submit.
If you aren't ready to submit the request, you can save your request as a draft. Until submitted, your request is saved as a draft. Click the Drafts tab to view all requests not yet submitted. See Existing Position Control Change Drafts for more information on drafts.
21. Once submitted, your request displays on the Request History tab. See Request History for more information.

Until submitted, all requests are saved as drafts in the Existing Drafts section.
3. Click View All Users to view requests/drafts created by all other users as well as your own.
You must have the Can View All Requests permission to View All Users set via Setup > Profiles > Human Resources tab.
a. Click Hide All Users to hide requests/drafts by all other users.
4. Click the Name field to edit the title of the request. Changes save automatically.
5. Click Duplicate to create a copy of the draft/request.
a. Enter the name of the duplicate request in the text box and click OK.
6. Click View to open the request, add information, and submit the request. See Requesting a Position Control Change for information on completing a request.
7. Click the delete button (red minus sign) to remove a draft.
1. From the Human Resources menu, click Position Control Changes.
2. Click the Request History tab.
3. If you have permission to view request history submitted by other users, click View All Users.
You must have the Can View All Requests permission to View All Users set via Setup > Profiles > Human Resources tab.
a. Click Hide All Users to hide request history for all other users.
The Request History screen displays the following information: Requester name, Name of the request, Status, Created Date, and the Effective Date.
4. Hover over the Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the position control change and approving or denying the request.
A green check mark indicates an Approved status.
An hourglass indicates a Pending status.
A red X indicates a Denied status.
5. Click View to open and view the request.
6. Click Duplicate to create a copy of the request.
a. Enter the name of the duplicate request in the text box and click OK.
7. While your request is pending, you have the option to Cancel it by clicking the corresponding button.
1. From the Human Resources menu, click Position Control Changes.
2. Click the Templates tab.
3. Enter the title of the template in the provided text box and click Create.
4. Enter as much information as is needed for the template. See Requesting a Position Control Change for details about the fields displayed.
5. Click the Templates tab to view created templates in the Existing Templates section.
6. If you have permission to view templates created by other users, click View All Users.
You must have the Can View All Requests permission to View All Users set via Setup > Profiles > Human Resources tab.
a. Click Hide All Users to hide templates created by all other users.
7. Click the Name to edit the title of the template. Changes save automatically.
8. Click Duplicate to create a copy of the template.
a. Enter the name of the duplicate request in the text box and click OK.
9. Click Use to open the template as a new position control change draft.
a. Enter the name of the request/draft in the provided text box and click OK.
