The Returns screen allows users to create return requests for items that were ordered, but are no longer needed and should be returned to the Warehouse. If you are a part of the Return Request approval chain as set up by the district, you can also review, approve, and deny requests, as well as review approval history.

Creating a Return Request

1. From the Warehouse menu, click Returns.

2. From the Drafts tab, enter the return request Title in the provided text box.

3. Select the applicable original warehouse purchase order from the pull-down.

If your profile has permission to Override Returns set via Setup > Profiles > Warehouse tab, you can initiate a return for any purchase order. Without this permission, you can only initiate returns for orders you created.

4. Click Create.

The Return Request displays the Reference Numer, Item, Qty Order, and the Unit Price in the Return Items section, as well as the Return Allocations from the original purchase order.

5. Enter the number of Return Units in the text field for the applicable item.

The Unit Price and Return Amount automatically calculate.

6. In the Return Allocations section, enter the Return Amount as defined by the Total displayed in the Return Items section.

7. As indicated in the Files section, drag files directly into the box to attach documents or click the Select button to browse for files.

Click the Scan File button to download Dynamsoft, which allows you to attach files directly from your scanner. In doing so, you will bypass saving the file to your computer first.

8. To add a comment, type the comment in the provided text box. Then, click Post.

9. Enter Notes applicable to the Warehouse in the provided text box.

10. Click Submit.

If you aren't ready to submit the return, upon navigating away from this screen, the return request saves automatically as a draft. See Return Request Drafts for more information.

Return Request Drafts

1. From the Warehouse menu, click Returns.

2. From the Drafts tab, navigate to the Existing Drafts section, which displays the Draft title, Return Type, Return Item From, and the Create Date.

3. To delete the draft, click the delete button (red minus sign).

4. Click the Draft field to edit the title of the return request.

5. Click View to open, edit, and submit the return request.

Return History

1. From the Warehouse menu, click Returns.

2. Click the Return History tab.

The Return History tab displays the Name of the request, the Request Date, request Type, Location, Notes, and the Approved Date.

3. Hover over the Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the return request and approving or denying the request.

A green check mark indicates an Approved status.

An hourglass indicates a Pending status.

A red X indicates a Denied status.

4. Click View to open the return request.

5. While your request is pending, you have the option to Cancel it by clicking the corresponding button.

Pending Approval

If you are a part of the Return Request approval chain and responsible for reviewing and approving or denying submissions, the Pending Approval tab displays with requests awaiting approval.

1. From the Warehouse menu, click Returns.

2. Click the Pending Approval tab.

The Pending Approval tab displays the Name of the request, the Requester, Request Date, and the Status of request.

3. Hover over the approval Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the return request and approving or denying the request. You should see your name displayed here.

A green check mark indicates an Approved status.

An hourglass indicates a Pending status.

A red X indicates a Denied status.

4. Click View to open the return request and review the details.

5. Click Approve to approve the return request.

6. Click Deny to deny the request.

7. The Show only my pending check box is selected by default, which ensures only your pending requests display. Clear the selection to display pending requests for all users; i.e. other users part of the approval chain.

Once approved or denied, the request record moves to the Approval History tab.

Approval History

If you are a part of the Return Request approval chain and responsible for reviewing and approving or denying submissions, the Pending Approval tab displays with requests awaiting approval, once approved or denied, you can review all purchase requests via the Approval History tab.

The Approval History tab displays the Name, Requester, Requested Date, Approved Date, and the Status.

3. Hover over the approval Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the return request and approving or denying the request. You should see your name displayed here.

A green check mark indicates an Approved status.

An hourglass indicates a Pending status.

A red X indicates a Denied status.
