Employee Breakdown

The Employee Breakdown report displays selected data from any one or two employee fields in visual column graphs, pie charts, and lists. The Employee Breakdown report is designed to assist districts in tracking and analyzing their employee data.

1. In the Human Resources menu, click Employee Breakdown.

2. Please choose an employee field from the provided pull-down to begin.

When selecting a field from the pull-downs, you can begin typing the field name in the Filter text box for a quick find.

3. To further customize the data used in the breakdown report based on employees and employee information, click Advanced.

a. Clicking Advanced opens an employee search screen. Conduct an employee search or click More Search Options to pull a group of employees based on defined criteria. The resulting employees and employee information will define the Employee Breakdown report.

To alter the selected group of employees set via the Advanced link and the employee search module, click the Advanced link again at any time.

4. Once a field is selected from the Please choose an employee field pull-down, a second pull-down will display beneath it. If you want to Breakdown Further? select an additional field from the pull-down.

5. The Employee Breakdown charts will show data based on the Effective Date, which defaults to the current date. To set a different date, select a Month, Day, and Year from the provided pull-downs. You also have the option to select a date by clicking the calendar icon.

6. Click Go to apply the Effective Date.

7. Notice there are several different tabs depending on how you would like to see the information displayed, such as Column, Pie, and List. The Column tab is selected by default.

Column

The selected employee data is displayed in a Column breakdown. The first legend listed along the left side (Female, Male) is the first selected field.

Each column is broken up by different colors, these colors display data for the second selected field; in this case, W4 Information - W4 Status.

To see the legend for each W4 Status and its corresponding color, click the blue arrows up and down. In the example shown, Married filing jointly or qualifying surviving spouse is displayed. Note: These arrows display depending on the data displayed in the columns.

Hover over the different colors for detailed information, as shown in the image below.

The Total of employees that fit the selected criteria are listed at the bottom; in the example shown, the total is 463.

To extract the employee breakdown to an Excel spreadsheet, click Download.

Pie

Upon selecting the Pie tab, the second selected field will be removed. The pie chart can only support one selected field of employee data. You can select the Column or the List display for both selected fields in the employee breakdown.

The selected employee data is displayed in a Pie breakdown. The legend listed along the left side (Female, Male) is the first selected field.

Hover over the different colors for detailed information, as shown in the image below.

Click on a portion of the pie chart, in this case the Male or Female portion, to open a list of the employees in Employee that make up the selected portion. From here, you can click on any of the listed User names to open detailed information for each employee.

Clicking on a portion of the pie chart will navigate to Employee away from the Employee Breakdown screen. To return to the screen, you can either click the Back button of your browser or navigate to Employee Breakdown from the Human Resources menu.

The Total of employees that fit the selected criteria are listed at the bottom; in the example shown, the total is 463.

To extract the employee breakdown to an Excel spreadsheet, click Download.

List

The selected employee data is displayed in a List breakdown. The first legend listed in the first column (Female, Male) is the first selected field.

The Gender columns are broken down by the second selected field; in this case, W4 Information - W4 Status.

To extract the employee breakdown to an Excel spreadsheet, click the floppy disk icon.
