Custodial Request

The Custodial Request screen allows users to create new and existing custodial work orders for items inventoried in the Warehouse.

Creating Custodial Requests

1. From the Warehouse menu, click Custodial Request.

2. Type the name of the custodial request in the text box, then click Create.

3. Select the Item from the pull-down. The Items displayed in the pull-down populate from the Warehouse Catalog.

4. Select the applicable Facility from the pull-down.

5. Enter any applicable Notes in the text box regarding the custodial request.

6. Enter the number of Units in the text box.

7. Press Enter to save the entry.

The Average Unit Price defaults based on the Item selected.

The Total Price is automatically calculated based on the Item selected and the number of Units entered.

8. Add as many custodial request items as needed using the bottom row.

9. Attach any necessary Files to the custodial request.

As indicated in the Files section, drag files directly into the box to attach documents or click the Select button to browse for files.

Click the Scan File button for direct scanning; this will prompt you to download Dynamsoft. This is a one-time download that allows you to attach files directly from your scanner. In doing so, you will bypass saving the file to your computer first.

10. Add any necessary Comments. Type the comment in the text box, then click Post.

11. Click Submit.

If you aren't ready to submit the custodial request, you can navigate away from the screen and return later to finish the request. Requests save automatically as a draft. See Existing Drafts for more information.

Once submitted, your request can be viewed from the Request History tab.

Existing Drafts

1. From the Warehouse menu, click Custodial Request.

2. From the Drafts tab, scroll down to the Existing Drafts section for all custodial requests started but not submitted.

3. To delete an existing draft, click the delete button (red minus sign).

4. To edit the title of a draft, click the Name field of the corresponding custodial request, and change the title as needed.

5. Click View to open the draft in the View Custodial Request tab. For more information about creating and submitting custodial requests, see Creating Custodial Requests.

Request History

1. From the Warehouse menu, click Custodial Request.

2. Click the Request History tab.

The Request History tab displays the Name of the custodial request, the date Created, the Requester, the Approved Date, the Status of the request, the Item, the number of Units, Price per unit, and the Total Amount.

3. Hover over the Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the request and approving or denying the request.

A green check mark indicates an Approved status.

An hourglass indicates a Pending status.

A red X indicates a Denied status.

4. Click View to open and view the custodial request.

5. Click Cancel to cancel pending custodial requests. Approved requests cannot be cancelled.

6. Click View All Users to view custodial requests made by other users as well as yourself. Click Hide All Users to view request history for only your own requests.

7. Click the Name to open and view the custodial request.

8. Click the Item to view item details in the warehouse Catalog.

Pending Approval

If you are a part of the Custodial Request approval chain and responsible for reviewing and approving or denying requests, the Pending Approval tab displays with requests awaiting approval.

1. From the Warehouse menu, click Custodial Request.

2. Click the Pending Approval tab.

The Pending Approval tab displays the request Name, the Requester, the Request Date, and the Status of the request.

3. Hover over the approval Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the request and approving or denying the request. You should see your name displayed here.

A green check mark indicates an Approved status.

An hourglass indicates a Pending status.

A red X indicates a Denied status.

4. Click View to view the request via the View Custodial Request tab.

5. Click Approve to approve the request or click Deny to deny the request.

6. The Show current pending check box is selected by default, which ensures only your pending requests display. Clear the selection to display pending requests for all users; i.e. other users part of the approval chain.

Once approved or denied, the request displays on the Approval History tab.

Approval History

If you are a part of the Custodial Requests approval chain and responsible for reviewing and approving or denying requests, the Pending Approval tab displays with requests awaiting approval; once approved or denied, you can review all custodial requests via the Approval History tab.

The Approval History tab displays the Name, Requester, Request Date, Approved Date, and the Status of the request.

3. Hover over the approval Status with the mouse to display the Approval Chain set up by the district. The Approval Chain displays the user(s) responsible for reviewing the request and approving or denying the request. You should see your name displayed here.

4. Click View to view the request via the View Custodial Request tab.

Additional Features

Use the Filter text box located in select pull-downs to quickly find a selection. Begin typing the name or number of the data in question in the Filter text box to pull it to the beginning of the list.

Click the Filters button to filter data and apply filter rules.

a. To add more than one filter to a column, click on the green plus sign.

b. To delete an added filter, click on the red minus sign.

c. Select the gray arrow for additional filtering rules.

You can also sort data by clicking on any of the headers. Click once for ascending results; click twice for descending results.
