EWS Indicators

The EWS indicators screen allows the district to set EWS indicator criteria regarding student attendance, behavior, course failures, GPA, mobility, and retainment. The indicators that are set up on this screen will be available for all users in the district when using the Assessment Report.

The EWS Indicators and Assessment Report functionality is available to districts with the Assessments add-on module and/or Focus Analytics module.

Setting Up Absence Indicators

The Absence tab allows the district to set thresholds for either percentage or number of absences. Users can specify the attendance codes to consider, the grade levels, the courses to include/exclude from the threshold, the periods to consider for attendance data, and the start date/end date for absences to meet the defined criteria. 

1. In the Assessment menu, click EWS Indicators.

The Absence tab is opened by default.

2. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • Threshold - Enter the number of occurrences to count for the indicator.
  • Percentage - Select the check box if the threshold relates to the percentage of days with that code over the timeframe. (Note: The percentage is based on days with a code. If attendance is not taken and the student is assumed present, those periods do not count in the denominator.)
  • Attendance Codes -  Select the relevant attendance code(s). The pull-down contains the short names for the attendance codes at all schools.
  • Courses - Select specific courses, if desired. The pull-down contains a list of all course numbers. If a selection is made, only codes in that course will count.
  • Excluded Courses - Select any courses to exclude, if desired. The pull-down contains a list of all course numbers. If a selection is made, the selected course(s) will not count towards meeting the threshold.
  • Grade Levels - Select any grade levels, if desired. If a selection is made, the indicator is limited to the selected grade levels for the current year enrollment.
  • Periods - Select any periods, if desired. The pull-down contains a list of period short names from across the district. When a selection is made, the indicator is limited to attendance for the selected periods.
  • Start date - To limit the window of evaluation, enter a start date.
  • End date - To limit the window of evaluation, enter an end date.

3. Press Enter to save the row.  

Setting Up Behavior Indicators

The Behavior tab allows the district to set thresholds on disciplinary incidents for percentage or number of discipline events. Users can select specific disciplinary codes to consider for the given threshold, as well as the start and end date to consider the discipline criteria. 

1. In the Assessment menu, click EWS Indicators.

2. Click the Behavior tab.

3. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • Threshold - Enter the number of occurrences to count for the indicator.
  • Percentage - Select the check box to consider the percentage of referrals received by the student compared to all referrals received by that student.
  • Referral codes - Select the referral code(s) to consider for the indicator.
  • Include classroom referrals - Select the check box to count Classroom Referrals in the indicator.
  • Start Date - To limit the window of evaluation, enter a start date.
  • End Date - To limit the window of evaluation, enter an end date.

4. Press Enter to save the row.  

Setting Up Course Failures Indicators

The Course Failures tab allows the district to set thresholds on the number of grades a student receives for specified courses for a given marking period. Start and end dates can be set to determine when course criteria should be considered. 

1. In the Assessment menu, click EWS Indicators.

2. Click the Course Failures tab.

3. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title assigned to the indicator.
  • Code - Enter the code assigned to the indicator.
  • Threshold - Enter the number of failures to meet the requirement.
  • Courses - Select specific courses, if desired. If a selection is made, only failures in the selected course(s) will count.
  • Grades - Select the grade(s) to consider for the threshold. The pull-down contains a list of all grades on all grading scales.
  • Marking Periods -  Select the marking periods to consider for the threshold. The pull-down contains a list of all of the marking periods. If the selected grade is recorded for any of the selected marking periods, it will count toward the indicator.
  • Start Date - To limit the window of evaluation, enter a start date.
  • End Date - To limit the window of evaluation, enter an end date.

4. Press Enter to save the row.  

Setting Up GPA Indicators

The GPA tab allows the district to set thresholds on student GPA, including the GPA value, the years to consider, and the start and end dates to consider for the GPA criteria. 

1. In the Assessment menu, click EWS Indicators.

3. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • GPA - Enter the GPA at which anything below or equal will qualify as meeting the indicator.
  • Years - Select the year(s) to consider for the indicator.

4. Press Enter to save the row.  

Setting Up Mobility Indicators

The Mobility tab allows the district to set thresholds on students who have withdrawn and then re-enrolled in another school in the district. Users can set the threshold for the number of events and the school years to consider. 

1. In the Assessment menu, click EWS Indicators.

3. Enter the following information for the new indicator in the blank row:

  • Title -  Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • Threshold - Enter the number of schools attended to consider.
  • Years - Select the years of enrollment to consider.
  • Start Date - Enter a start date of the range to check for enrollment records.
  • End Date - Enter the end date of the range to check for enrollment records.

4. Press Enter to save the row.  

Setting Up Retainment Indicators

The Retainment tab allows the district to set thresholds on students who been retained (same grade level consecutive school years). Users can set the threshold for the number of events and the school years to consider. 

1. In the Assessment menu, click EWS Indicators.

3. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • Threshold - Enter the number of times retained.
  • Years - Select the years to consider for retainment.
  • Start Date - Enter the start date of the range to check for enrollment records.
  • End Date - Enter the end date of the range to check for enrollment records.

4. Press Enter to save the row.  

Setting Up Indicator Counts

The Indicator Count tab allows the district to the set thresholds for students who meet X or more of the indicators on this screen. 

1. In the Assessment menu, click EWS Indicators.

3. Enter the following information for the new indicator in the blank row:

  • Title - Enter the title to assign to the indicator.
  • Code - Enter the code to assign to the indicator.
  • Threshold - Enter the number of indicators.
